On July 1, 2025, IPL merged with Schoeller Allibert to form IPL Schoeller (the ‘company’). Its operations are split across North America (11 manufacturing plants), The UK and Lommel (6 manufacturing plants) and Europe (9 manufacturing plants). The company is headquartered in Dublin, Ireland. IPL Schoeller is a leading manufacturer of sustainable rigid packaging solutions across a range of end market segments including returnable transit packaging, consumer and industrial packaging, environmental containers and agricultural packaging. The company employs c.4,100 employees across North America (1,600 employees) and Europe (2,500 employees).
To realize the advantage of this merger the company is now embarking on a global transformation and integration program, a combination of merger synergies, cost saving projects, organic growth initiatives and organisational design, over the course of the next two years.
To assist us manage this project we are now looking to hire an Executive Assistant (EA) who will work closely with the Global Transformation Officer and the Chief of Staff.
This role requires a unique blend of administrative expertise and agility by playing a crucial role in facilitating the smooth operation of this transformation project working within the transformation office organising and arranging meetings, workshops and various engagement with multiple external providers
You will be proactive, detail-oriented, and capable of managing multiple tasks in a fast-paced environment. You will be the point of contact for internal and external stakeholders, which will require excellent communication skills, a focus on confidentiality and a professional demeanour.
Key Responsibilities
· Partner with senior leaders, functional teams, and external vendors to capture the ongoing administrative requirements of this project.
Build clear communication channels, provide regular status updates, and appropriate & timely executive reporting.
· Organise for attendance at workshops, steering committees, and cross-functional meetings by coordinating and arranging all logistics with internal colleagues and external partners.
Ensure meeting agendas, notes, and minutes are developed and maintained, capturing any follow up items as required.
Assist in the preparation of reports, presentations, and other documents as required.
Identify opportunities to improve project delivery, methodologies, and internal practices.
Handle confidential information with discretion and integrity
Support a culture of innovation, collaboration, and continuous improvement
Qualifications and Experience
5–7 years of experience operating as an Executive Assistant to senior management.
International experience of cross-cultural environments is highly valued.
Proven track record in:
Managing multiple calendars and travel plans across time zones
Event planning
Meeting and event planning with extraordinary attention to detail
Professional verbal and written communication skills
Mastery of office software (e.g., Microsoft Office Suite, Google Workspace)
Understanding of project management tools and use will be advantageous
Comfort with virtual meeting platforms and collaboration tools
Capacity to learn new tools and systems quickly
Ability to take ownership of tasks, driving them to completion
Energy and engagement to work in a team culture and provide executive frictionless executive support
